Terms and conditions
These provide the overarching terms and conditions for a bespoke coaching contract and agreement, fit for your individual needs, to be signed at a later date.
In agreeing to receive leadership coaching from the coach, you are committing to being open and honest, to making use of the available time to explore issues and difficulties within your role at work and to move towards change and act upon solutions. The coach provides a trusting, confidential relationship where she will endeavour to support, reflect and challenge you in this process.
The coach will be supportive, provide opportunities for development whilst being non-judgemental and non-directive and focus on your development and goals within your best interests.
After opening contact and discussions about the benefits of coaching, the coach will send more specific information about herself and the benefits of coaching, before suggesting to meet in person.
Initial chemistry meeting
The coach will offer an initial free meeting of between 30- 60 mins, preferably face to face, to find out if both parties get on and can work together. Any questions, concerns and the support needed, can be discussed in confidence at that meeting. If you then decide to go ahead, the coach will set up the sessions and provide a coaching agreement to be signed by both parties.
It is suggested that clients benefit from an initial agreement of 6 sessions of an hour each, where both parties can find goals and then work towards individualised solutions.
However, as each client will have different requirements, the venue, online zoom options, session lengths and frequency can be discussed and agreed and then confirmed in the subsequent contract agreement.
The ideas, feelings and actions that we discuss in our sessions are completely confidential except:
• Where disclosure is required to comply with the laws of England and Wales;
• Where there is a risk of harm or safeguarding issues to yourself or others; or
• Where mutually agreed feedback, that is anonymised as appropriate, can be taken forward because it is beneficial to the organisation.
All records will be kept securely, and any notes will be anonymised with the client’s initials.
Code of Practice
To ensure the highest level of professionalism, the coach is registered with a professional body and abides by their code of conduct and professional standards.
The coach is fully insured with public liability and professional indemnity to provide peace of mind to both parties, a copy of which can be provided if necessary.
The Code of Ethics of the professional body requires that the coach receives regular supervision sessions to discuss issues arising from the coach’s work and business. The client’s information may be confidentially discussed without sharing personal information.
If the coach has to cancel a session in the event of illness, emergencies or other unavoidable circumstances, she will inform you as soon as possible arrange to reschedule the session.
If you decide to cancel a session, the coach asks you to notify her as soon as possible by e-mail or text, but if the cancellation is less than three days before the session then a 50% charge will be payable. Except in exceptional circumstances, cancellations of less than 24 hours before the session will be charged at the full rate.
A charge for the coach’s travel and other expenses that have already been incurred and are not refundable, will be payable where cancellations are made with less than 24 hours’ notice.
The coach reserves the right to terminate the sessions due to unforeseen circumstances.
If you would like to cancel all of the remaining sessions, you should inform the coach in writing (e-mail) so that we can agree the final session and allow goals and progress to be evaluated.
The protection of your data is especially important. To ensure confidentiality, notes and logs that are made on paper will be transferred to computer records, and the papers will be shredded when they are no longer needed.
The purpose of keeping logs is for the coach to reflect and plan. Computer records are kept on One drive, password protected and identified with your initials or as a pseudonym to ensure anonymity. Logs and e-mail addresses will be kept for 6 months and then deleted unless we have agreed that they can be kept because you want to return to coaching in the future.
When there is a necessity for an online meeting, the coach will arrange a time that suits both parties. The zoom link will then be sent 24 hours in advance.
Both parties will then be honest about how zoom is affecting the coaching relationship and agree to alterations or a mixture of face to face and virtual meetings as appropriate.
The coach will provide an invoice either after each session or as agreed at the end of the block of sessions. BACS information is provided on the coach / client agreement as the preferred method of payment.
Payment will be due within 14 days of the receipt of the invoice.
Coaching opportunities within a larger organisation
Where coaching has been offered within a larger company, the coachee’s line manager or sponsor will agree to provide any necessary assistance, to understand the coaching agreement and to support the coachee in the process.
The line manager will agree that when the times and dates of the coaching sessions have been arranged, they do everything they can to allow the sessions to carry on uninterrupted.
It is important to note that no feedback will be given to line managers except whether or not the sessions are going well and whether the coachee is engaging with the sessions. Matters of performance management may come up in conversation and the coach will encourage the coachee/client to agree a time when this can be discussed with their line manager.
In making an agreement with a commercial organisation the coach will use the agreement/ contract endorsed by her professional body.
